Greetings from Punjab Engineering College, Chandigarh

I, Er Sarvjeet Singh Virk (Co-Founder FINVASIA Group, Alumnus 2003 & Ex Board of Governor Member, PEC) am pleased to share that the Outgoing Executive Committee of PECOSA in its meeting held on 14th Sept 2024 has appointed me as the Returning Officer for holding fresh PECOSA Elections for the term 2024-26 at an Annual General Meeting (AGM) of PECOSA to be held on Sunday 17^th November 2024.  As per the Rules and Regulations of PECOSA uploaded on the PECOSA website www.pecosa.in , the election process for the following 16 (sixteen) posts would be held:

1. President: 1 (One)
2. Vice President: 1 (One)
3. General Secretary: 1 (One)
4. Treasurer: 1 (One)
5. Joint Secretary: 1 (One)
6. Executive Members: 11 (Eleven)

The timelines and other significant details for elections of the Executive Committee of PECOSA for the term 2024-26 are as follows:

The Electoral College shall comprise the General Body of PECOSA i.e. all registered alumni of Punjab Engineering College, Chandigarh and all other members as mentioned in MoA of constitution. New registration for E-Voting elections is open. All Alumni who have registered at https://alumni.pec.ac.in/ shall be able to vote during online election process. Thereafter new registration for elections shall be temporarily closed from 5 PM Friday 8^th Nov 2024 till mid night of Sunday 17^th Nov 2024. In case anyone missed to register online, Alumni can come for physical voting along with supporting documents.

All Alumni must register for E-Voting at https://alumni.pec.ac.in/addon/1246

Only registered and approved members who have completed the process including submitting a valid ID proof shall be allowed to participate in online Election Voting portal. Alumni who had registered previously are not required to register again and shall be eligible to vote this time as well.

Format for submitting Nominations:

1. Google Form : Details shall be shared separately
2. A 2-minute video covering the following details from the final nominated candidates.
       – A brief about yourself
       – Your involvement with the PECOSA in the past
       – How you plan to contribute to the PECOSA in the next 2 years

Your profile will be uploaded to the PEC & PECOSA portal, and the video will be uploaded on the PECOSA YouTube channel. Both of them can be used for the purpose of campaigning.

Electoral College: The Body of Electors shall comprise of the General Body of PECOSA i.e. all members of the Punjab Engineering College Old Students Association and all others as per the MoA in the constitution. 

The Voter List registered on PECOSA website (Names Batch, Branch, Email only) shall be shared with the selected final Nominated candidates over email on their registered email ID on request and can be seen at the above address of RO office. Any objection to the Voter list may be brought into the notice of the Returning Officer for his consideration in writing or by emailing to him at the email: pecosaelections@gmail.com  before 5^th November 2024.

Nomination Process and voting: Nomination Form for election to Executive Committee is required to be proposed by an alumnus of Punjab Engineering College and seconded by another alumnus. The consent of the nominated candidate should be also appended with the nomination. Each member can only nominate any one and second any one candidate under all posts. Completed nomination forms must be made to reach the Returning Officer latest by 5:00 PM on 25^th Oct 2024

The complete scan copy of physical nomination forms must be sent by email pecosaelections@gmail.com. It is not mandatory to send physical forms if already shared on the above email.

You shall receive a confirmation email once physical form is received at the above address. It shall be the responsibility of candidate to confirm from RO over email in case they don’t hear back from RO.

Nomination on E-Voting Portal: More details shall be available on https://alumni.pec.ac.in, http://pecosa.in

The opportunity for campaign shall be as follows

1. Selected candidates can send their digital campaigns to RO to circulate in bulk emails to all Alumni using PEC Alumni Election portal
2. There shall be a profile blog of each candidate on www.pecosa.in and in the PEC Alumni E-Voting portal, alumni.pec.ac.in
3. Candidates can directly approach any Alumni as well.

The elections would be held in a free, fair and transparent manner as per the Memorandum and Articles of Association of PECOSA.  As per Cl. 17 & 18 of the Rules & Regulations of PECOSA , in case of any dispute with regards to identity of members , the decision of the Returning Officer would be final and acceptable to all. 

• The candidates may forward their Message for campaigning once to the Returning Officer between 3^rd Nov 2024 to 10^th Nov 2024 for bulk email to all Alumni.
• Profile of each must reach RO before 7^th Nov 2024 to upload online. The format of profile shall be shared with all selected candidates on 3^rd Nov 2024
• The Alumni must bring with them proof of identity in the form of  driving licence, Passport, Adhar Card, Voter Card etc. on the day of voting.
• Candidates who have voted in E-Voting portal shall not be allowed to vote in Physical.
